SolvPro ("we", "our", "us") values your privacy and is committed to protecting the personal data you share with us. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our website, applications, and services (collectively, the "Services").

We may collect personal data in the following ways:

Information You Provide Directly

This includes your name, email, contact details, company information, and any data you enter into forms on our platform or website.

Automatically Collected Data

When you use our Services, we may collect device information, IP address, browser type, and usage statistics through cookies and similar technologies.

Location information

Precise (GPS) and approximate location from your mobile device, collected while you use the app and, when you have an active work-order timer, in the background. See "Location Information" below.

How We Use Your Information

We use the information we collect for the following purposes:

  • To provide and maintain our Services
  • To improve, personalize, and expand our Services
  • To communicate with you, including sending transactional and marketing emails
  • To monitor usage and detect security incidents
  • To comply with legal obligations
  • To verify and timestamp time-tracking entries at job-site locations
  • To monitor job-site geofences and notify you when you leave a job site while a timer is running
  • To calculate optimized routes and directions between job sites
  • To display job and customer locations on maps and to complete address entry

Google Integration and Third-Party Services

SolvPro integrates with Google services, including but not limited to:

  • Google Analytics: We use Google Analytics to understand website traffic and user behavior. Google Analytics may collect your IP address, device type, browser information, pages visited, and session duration. This data helps us improve the functionality and performance of our site.
  • Google Ads: We may use Google Ads for remarketing and audience targeting. This allows us to display relevant advertisements to users based on prior interactions with our Services.
  • Google Tag Manager: This tool is used to manage website tags and improve analytics performance. It does not collect personal data but may trigger other tags that do.

Your Choices and Controls:

  • You can opt out of Google Analytics tracking by installing the Google Analytics Opt-out Browser Add-on.
  • You can adjust your ad preferences through Google Ad Settings.
  • Our cookie banner allows you to control what tracking technologies are used when you visit our site.

Data Processing and Compliance:

We rely on your consent to process personal data through Google services where required by law (e.g., GDPR in the EEA/UK). We have implemented IP anonymization and limited data sharing with Google. Data collected via these tools is retained according to our configuration, typically for no more than 14 months.

Location Information

SolvPro is field-service software for mobile crews, and several features depend on your device's location. This section explains what location data we collect, why, how it is shared, and how you can control it.

Types of location data we collect

  • Precise location (GPS-level). Latitude and longitude from your device's location services.
  • Approximate location. A less exact location derived from network or Wi-Fi signals, used as a fallback when precise location is unavailable.

We collect location data while you are using the app and, for the geofencing feature described below, while the app is running in the background.

When and why we collect location data

  • Time-entry verification and timestamping. When you clock in or out of a work order, we record your coordinates at that moment and attach them to the time entry, so your organization can confirm that work was performed at the assigned job site.
  • Job-site geofence monitoring (background). While you have an active (running) work-order timer, the app periodically checks your location in the background approximately every 30 seconds and compares it to the job-site location. If you move outside the job-site area, the app prompts you to confirm whether you are still working, traveling, on a break, or finished. This is the only situation in which the app accesses your location in the background, and it stops when the timer is stopped.
  • Route optimization and directions. When you build a route between job sites, your current location is used as the starting point to calculate an optimized, turn-by-turn route.
  • Maps. Your job and customer locations, and optionally your own position, are shown on in-app maps.
  • Address entry. When you type a customer or lead address, we use an address-autocomplete service to suggest and standardize the address.

How location data is shared

  • With your organization. Location captured with your time entries is stored on SolvPro's servers and is visible to the administrators and managers of the organization (your employer or the SolvPro account holder) that assigned your work.
  • With Google Maps Platform. To display maps, calculate routes and directions, and provide address autocomplete, we send location coordinates and/or addresses to Google's Maps, Routes/Directions, and Places services. Google's handling of that data is governed by the Google Privacy Policy.

We do not sell your location data and do not use it for advertising.

Retention

Location data attached to time entries and work records is retained for as long as your organization's account is active, or as needed to provide the service and to meet legal, accounting, and dispute-resolution obligations, subject to your organization's data-retention settings.

Your choices and controls

You can allow or deny location access, including background access, at any time in your device Settings:

  • iOS: Settings › Privacy & Security › Location Services › SolvPro. "Always" is required for background geofence monitoring.
  • Android: Settings › Apps › SolvPro › Permissions › Location. "Allow all the time" is required for background geofence monitoring.

If you disable location access, geofence prompts will not appear, route optimization will be unavailable (you will still see all assigned work orders, without an optimized route), and time entries will be recorded without coordinates. Viewing and updating work orders, notes, and time entries continues to work without location access.

Sharing Your Information

We may share information with:

  • Service providers under strict confidentiality obligations
  • Law enforcement or other authorities when required by law
  • Third parties with your consent
  • Your organization — your location data associated with work orders and time entries is accessible to that organization's administrators.
  • Google Maps Platform — we share location coordinates and addresses with Google to provide mapping, routing, directions, and address autocomplete.

We do not sell your personal data.

International Data Transfers

If you are located outside the United States, your data may be processed in the U.S. where privacy laws may differ. We ensure adequate safeguards such as Standard Contractual Clauses where required.

Data Retention

We retain personal data as long as necessary to provide our Services or as required by law. Automatically collected data may be retained for analytics purposes for up to 14 months.

Your Rights and Choices

Depending on your jurisdiction, you may have the right to:

  • Access and correct your data
  • Request deletion of your data
  • Object to processing or restrict certain uses
  • Withdraw consent for data processing
  • Location. You can enable or disable location access, including background access, in your device settings at any time. Disabling it limits geofencing, routing, and location-tagged time entries as described in "Location Information."

Security

We implement administrative, technical, and physical safeguards to protect your information. However, no method of transmission over the internet is 100% secure.

Children's Privacy

Our Services are not directed to children under 13. We do not knowingly collect personal data from Children.

Our website may contain links to third-party websites or services. This Privacy Policy does not apply to those external sites. We encourage you to review their privacy policies.

Changes to This Privacy Policy

We may update this policy from time to time. The "Effective Date" at the top will be revised accordingly. Continued use of the Services after such updates constitutes acceptance of the Changes.
